Colleagues in your practice and teachers at school

Two ways to let others follow along, with very different rules. A colleague works in your practice and writes up their own lessons. A teacher at school receives an overview once a week, and only if the parents have given their permission.

Colleagues: one practice, several tutors

With Plus you work with up to three colleagues in the same practice. They see the students, the schedule, the write-ups and the lesson plans, and write up their own lessons. Invoices, rates, the practice settings and the subscription stay yours as the owner; a colleague who opens one of those screens sees a single sentence explaining that.

  1. Go to Settings › Colleagues and click “Invite”. Fill in the email address.
  2. Your colleague receives an email with a link, signs in or creates an account with that same address, and accepts. The invitation is valid for a limited time; you can always withdraw it.
  3. From then on the colleague is in your list and working with you. If you remove someone from the practice, they see nothing any more; whatever that colleague wrote up stays.

Teachers at school: the weekly mail

Many parents like the class teacher to know what the tutoring is working on. That is what the weekly mail is for: every Monday a short overview per student with that week's lessons, the shared write-up and the progress. Your own notes never go with it.

Because it is about a child and goes to a third party, there is a hard rule: nothing goes out until you have recorded, per student, that the parents agree, and how. The teacher can also unsubscribe with one click at the bottom of the email.

  1. Go to Teachers and click “Add a teacher”: name, email address and optionally the school. Nothing goes out yet.
  2. Link a student to the teacher, on the student's page under “Teacher at school” or from the teacher's own page.
  3. Click “Record permission” and note how the parents agreed, for example “by email, 12 September” or “discussed at the intake”. From now on the weekly mail goes out every Monday.
  4. If the parents withdraw their permission, click “Withdraw permission”. The link stays, but nothing more is sent. With “Stop” on the teacher you stop everything for that teacher in one go.

Who sees what

  • A colleague sees everything to do with teaching: students, schedule, write-ups, lesson plans, materials and exercises. Not the invoices, rates and settings.
  • A teacher sees only the weekly mail about the students for whom permission has been recorded, and can do nothing in the app.
  • A parent sees only their own child in the portal, and does not know who else works in the practice.
  • Your “Only for you” notes are seen by no one but you.

Frequently asked questions

What happens to colleagues if I move from Plus back to Tutor?

The colleague places lapse. Colleagues can then no longer work in your practice; the students and everything they wrote up stay with you.

Can a colleague have a practice of their own?

Yes. A colleague who leaves your practice carries on in a practice of their own with their own subscription.

Do I need the parents' permission on paper?

That is up to you. The software asks you to record how permission was given, so you can find it again later. In practice an email from the parents is the easiest.
