The monthly report: drafting, reviewing and sending

Once a month every parent receives a report on how things are going. It is drafted from your own write-ups, you read it through and adjust it, and parents only see it once you send it. This is how it works.

1

Where it comes from

Every write-up provides three things: the topics you worked on, how each subject went, and your sentence for the monthly report. On Tutor and Plus, at the end of the month, a draft is put together from those for each student: a readable text about what was done that month, what has clicked and what the next step is. A month with fewer than two written-up lessons is skipped; there is nothing to say about it yet.

Your own notes of the “Only for you” kind never appear in a monthly report. What you shared with parents in the write-up can come back in it.

Step by step

  1. At the start of the month, go to Reports. You land on the month that has just ended.
  2. Click “Draft monthly reports”. Each student with two or more written-up lessons gets a draft.
  3. Open a draft and read it through. Change the text wherever you like; it is your report, in your words. Add an attachment if you want, a completed worksheet for example.
  4. Click “Reviewed” when it is right. That way you can see in the list which reports are ready and which still need attention.
  5. Click “Send”. The report goes by email, with its attachments, to the parents who want to be kept informed, and appears as a PDF in the parent portal. After that it is fixed.

What parents notice

Parents receive an email in your practice's language, with the report as a PDF and a link to the portal. In the portal the newest report is at the top with the earlier ones below, so a parent can compare the months side by side. The child's year group and your practice name are on it, with your logo and colour.

A report that has been sent no longer changes, not even if you later rename or merge a topic. The parent keeps exactly what they received.

If you would rather write it yourself

The draft is a starting point. You can replace it entirely with your own text, and the software remembers per student what you sent. Many tutors keep the structure (what we did, what has clicked, what we will do next month) and write the sentences themselves. That takes a few minutes per student, because the content is already in your write-ups.

Frequently asked questions

Is the monthly report included in Start?

The monthly report comes with Tutor and Plus. On Start you share progress through the write-ups you share with parents.

Can I send a report to one parent and not the other?

Yes. On the student's page you set for each parent whether they receive monthly reports. The invoice always goes to whoever pays, separately from this.

What if I spot a mistake after sending?

The sent report stays as it is. You can email the parent, and correct it the following month. That is why “Reviewed” is a separate step.
